The earliest you can have a ceremony at Wootton Park is 2pm. This is to allow sufficient time for your preparations and set up of your wedding. These are banned due to the potential injury to animals and damage to the environment.
Confetti
Confetti must be natural petals and not plastic or paper (even if it states that it’s biodegradable) and only used in certain locations.
It must not be used near the venue or patio but should be used in the ceremony area or across the path on the main lawn area.
Confetti cannons are not allowed under any circumstances, this includes inside or outside.
Corkage
The bar is reasonably priced, similar to local pubs, and cheaper than similar venues and hotels in the area. If you’d like to upgrade your wines we can arrange a meeting with our local wine merchant who imports some of our wine from France for us. If you’d prefer to bring in your own wine, Prosecco or Champagne for the meal we offer corkage at £10 per bottle wine and £20 per bottle bubbly. We will supply glasses and staff for this.
For small 50ml bottles of spirits as favours we charge £3.50 per person
We operate a pay bar with the option to put money behind the bar if arranged in advance. We don’t allow you to bring any other drinks into the venue.
Damage Deposit
A £500 refundable deposit for the venue and accommodation (inc pods) is required which is payable with your final balance one month before your wedding. We recommend you make your guests aware that you have paid a deposit which will cover any damaged or missing items during your wedding. This will be refunded in two payments within seven days of the event (unless there are any items damaged or missing). Any items damaged or missing from the rooms will be chargeable. Please bring to our attention any items which you find to be broken or not functioning correctly.
Decorating
You may decorate the venue as you wish so long as nothing is fixed or drawn on the walls. There are various hooks and places to hang decorations from throughout the venue. String or fishing line should be used to fix things up. Blutack and drawing pins are not allowed. See also Ladders, Lanterns and Bunting
You have access to the venue from 12pm to 4pm the day before to decorate if you have extended venue hire in your package and from 9am on the day for day only venue hire packages.
It’s helpful to prepare as much as possible in advance of arriving at Wootton Park, eg have a box for each table with name cards and favours etc in and ready to go.
Dietary Requirements
We cater for dietary requirements wherever possible. Please confirm any dietary requirements at least 14 days before your event and discuss this with the wedding coordinators at you final meeting. Also see Table Plan section
Drugs
We have a zero tolerance policy and any guest found with drugs will immediately be requested to leave the premises. The police will be contacted.
Easel
An easel for your table plan is available which holds a plan up to 110cm x 110cm. Taller items can still be put on the easel but aren’t held in place at the top. A paper plan must be mounted on card.
Evening Reception Room
We insist that the evening reception with your band or DJ takes place in the first room, the Oak Barn, rather than the Tractor Shed dining room or outside on the patio. We find that a much better party atmosphere is created in the Oak Barn, with a designated dance floor and separate stage area for your band or DJ. There’s plenty of room for all the guests who want to dance the night away and this room also houses the main bar, and therefore tends to keep the party together rather than dispersed throughout both rooms.
Your band or DJ can be setting up whilst you are having your meal and speeches and we don’t have to dismantle tables and move furniture. The means less interruption to you and your guests and makes for a seamless flow to the day. Finally, we also have noise restrictions which are much more difficult to adhere to in the Tractor Shed room as, on a lovely summers evening, we like to open up the doors on to the patio.
We see both rooms as an extension of one another, the adjoining doors remain open for you and any guests who might want to sit and chat in the Tractor Shed can still see everybody dancing so they’re very much still involved!
See also the section on ‘Music’.
First Dance
We recommend doing your first dance just after sunset as often your guests will be outside if it’s a nice evening. Make sure your band or DJ know what first dance you’d like! See also Music section
Firebowl
The firebowl will be lit on the patio after dark if the weather is suitable. If it is raining or the wind is unsuitable we reserve the right not to light the firebowl.
Fireworks
We do allow fireworks which must be booked directly through Wootton Park but are limited to 5 displays per annum (on a first come first served basis). Displays Sunday to Thursday must be low noise displays (due to our noise restrictions) and the display should be before 10:30pm (with the exception of New Year’s Eve). We don’t allow anybody to bring or ignite their own fireworks.
Packages start from £1,000 with displays to music available from £1,500.
(Also see the Sparklers section)
Games
We have a variety of games available for your guests, such as Giant Jenga and football goal post at no extra charge. These will be put out on the day (subject to suitable weather). We reserve the right to change these if necessary. You are welcome to supplement these with others you want to bring.
Guest Info
Our Guest Information page on our website can be found at Guest Info. Here there is info about local taxis and hotels. You can use this link on your invites.
Gifts and Favours
We request that you don’t provide alcoholic gifts or favours to your guests. Corkage charges will apply for any alcohol brought into the venue, including by your guests (which may be deducted from your deposit).
Helium Balloon Release
We allow a helium balloon release so long as it complies with the National Association of Balloon Artists and Suppliers (NABAS) Code of Conduct. Balloons must be made of latex, filled with helium only, and no string, ribbons or valves can be used. You can download a PDF version here.
High Chairs
There are five high chairs available for use. You are welcome to bring your own should you require more.
Insurance
Wootton Park recommends you take out wedding insurance which will cover all your suppliers in case you need to cancel or postpone your wedding, or if there’s a problem with one of them,
Wedding Insurance is available from most companies who operate a wedding gift list scheme such as high street department stores or online from companies such as www.weddinginsurance.co.uk. The average cost is around £100 so well worth the expense if something unexpected should happen.
Please do your own research and check it provides the cover you require but in-particular check you have cover for pregnancy, illness of close family members and, given the current situation, infectious diseases.
Ladders
For Health & Safety reasons we will not provide you or your suppliers with ladders for use whilst decorating. Any decorations that require hanging must be put up by a professional person with the relevant training, risk assessments and insurance.
Lanterns
Lanterns can be used as decorations in the venue but they must be professionally installed, eg by Marianne Taviner www.mariannetaviner.co.uk or www.hanginglanterns.co.uk or another venue dressing company.
It’s not possible to hang lanterns in the Tractor Shed (dining room).
We don’t recommend the use of paper pompoms.
Licensing Policy
Being a licensed premises we don’t allow guests to bring in their own drinks. Any drinks not purchased from the bar will be confiscated and disposed of so please make sure your guests are aware of this.
Fridays & Saturdays (& bank holiday Sundays) the bar closes at midnight and the venue will close at 1 am prompt.
Sunday to Thursday the bar closes at 11pm and the venue will close at midnight prompt.
On your invites please request guests pre-book taxis, before arriving at the venue, for them to be collected within half an hour of the bar closing.
Everybody must vacate the premises by closing time (including all suppliers). Any disruptive behaviour will result in the person responsible being barred from the premises until further notice. We operate a Challenge 25 policy and will ask for ID if you are lucky enough to look under age 25. Please make your guests aware if this as it must be strictly adhered to.
Meetings and Preparations
You’re welcome to come and see us as many times as you like to help plan your day. Email us to arrange an appointment if you want to meet up or you can email us with any queries. We recommend bringing photographers, florists, bridesmaids etc to one of open days or wedding fayres leading up to your wedding.
Here is a rough schedule leading up to your wedding:
Engaged – book the venue & ceremony
After booking the venue – book other suppliers such as band, photographer, cake, florist, musician, entertainment, stationary etc
12 months before – send save the date cards
4 to 6 months – send invites
3 months – collate responses
2 months – chase RSVP’s
1½ months – final meeting with venue where you will need guest numbers, menu and dietary requirements
1 month – pay final balance to venue & suppliers
14 days – email table plan
We can organise a wedding at short notice within about 1 month if you would like to get married soon!
Before the final meeting please complete the worksheets which will be available on your portal (usually approx 10 weeks before your wedding). During the final details meeting we will check these details, run through the schedule, menu and drink choices, dietary requirements, table layout and any other information which will be helpful to make your day run smoothly.
At least 14 days prior to your wedding we will require a spreadsheet of your table plan. Our blank table plan can be downloaded here
Measurements
Some measurements that you may find useful for decoration are as follows:
Tractor shed frame – 2.4m high x 2.7m wide
Lakeside rose arch – 2.4m high x 2.4m wide
Entrance to the boat – 1.8m high x 2m wide
Diagonally across the dance floor – 2 x 13m (dance floor is 8.5m x 8.5m)
Pillars for inside ceremony – 2m high and 3.2m apart
Across mezzanine – 8.5m
Outside balcony – 3m wide x 1m deep
Tractor shed – 50-60m to zig zag across (room is 22.5m long x 8.5m wide)
Mementos
If there is anything you particularly want to keep after the wedding let us know and we’ll endeavour to look after it for you.
Please note it’s common for guests to take mementos from the wedding home with them. This could be favours, flowers, cake, centrepieces etc.
Wootton Park will not be held responsible for any items found missing after the wedding.
Music
Background Music – We use Spotify and have a selection of background music playlists we can put on during welcome drinks & the wedding breakfast. Or you can make up your own playlist and email us the Spotify playlist link. Please let us have the playlist link at least 7 days before your wedding.
Drinks reception – Live music can be played during your drinks reception on the patio, such as a singer or guitarist, however this must be kept at a suitable volume to not disturb other people on site.
Location – Bands and DJs must be set up in the Oak Barn, usually on the stage area. We don’t allow bands or DJs to set up in the Tractor Shed or on the patio.
Sound Limit – We have a strict sound limit of 100 dBA which must be adhered to which will be monitored throughout the evening. It’s your responsibility to make sure the band/DJ is aware of this prior to booking them.
All equipment must be PAT tested and proof available on request.
Soft drinks for DJ/band members are included free of charge. Alcoholic drinks must be purchased from the bar.
We recommend a live band or professional DJ for your evening entertainment. Please book your band/DJ for the time you would like your music to finish (we don’t put music on after the band/DJ).
Music must finish by 12am Friday & Saturday and 11pm Sunday to Thursday. The band/DJ must vacate the premises by 1am Friday & Saturday and midnight Sunday to Thursday. This may mean they need to finish earlier so check how long their pack up time is before booking them!
The venue does not play any music once your band and/or DJ have finished.
Band – We recommend you book a band who play MP3 music during their break (and afterwards if required).
The stage is approx 6m wide and 5m deep. There are three double 13A wall sockets around the room and two double 13A floor sockets at the front of the stage.
Disco – Professional DJs will bring their own equipment which operates independently from our venue background sound system. Soft drinks for the DJ are included free of charge. Alcoholic drinks must be purchased from the bar. We have a decibel meter and require DJ’s restrict their sound to 100 dBA. All equipment must be PAT tested and proof available on request.

A refundable deposit of £500 is included on your portal package to cover damaged or missing items from the venue and accommodation (inc pods), which will be refunded to you the week following your wedding, all being well.
Pets
The bedrooms and glamping pods are pet free zones, however you are welcome to bring dogs to the Venue at Wootton Park to be part of your special day, eg for the ceremony, but they must be taken off site ovenight.
We generally tend to find that most couples like to have thier fur babies with them for the ceremony and reception photos then have them collected when everyone sits down for dinner. Dogs are allowed in all areas of the venue.
If you are looking for a chaperone, take a look on our Magic Makers page 🙂
Photographers
If your photographer hasn’t shot here before we encourage them to visit before your wedding day as there are so many photo opportunities at Wootton Park. Check that a pre wedding day visit or engagement shoot is included in your package.
Most photographers request food so if you wish to cater for your photographer we charge £20 for a main meal and include soft drinks free of charge. Alcoholic drinks must be purchased from the bar. Photographers are welcome to eat on the mezzanine, by the bar or outside.
Postbox
We have a white postbox available for you to use at no extra charge. We can supply a standard sign for the front but if you wish to do you own to match your theme the dimensions are 17cm x 8cm. Please note that the postbox is not secure.
It is not recommended that cards with money or gift vouchers inside or valuable presents are left unattended. If in doubt speak to the manager on duty and let them know you have valuables and we may be able to put them in the safe.

We can also seat guests on long straight banqueting style tables. Each table seats 6 people (3 each side) and we can seat up to 54 guests per table.
The Bride usually sits on the Groom’s left hand side, leaving his sword hand free to defend his Bride. (There are sometimes exceptions for Jewish, military or police weddings)

The first person on the list should be seated at the 12 o’clock position as you enter the room and table number 1 will be the furthest away from the entrance to the room, on the right hand side of the room. Remember – you won’t be numbers 1 and 2 on your table, you will be sat in the middle and the top table is table number 0.

If you haven’t booked a professional toastmaster we recommend nominating one of your ushers to do this task. The job involves making announcements such as when guests are required for photos, calling guests into the dining room, announcing the newly married couple, introducing the cake cutting and first dance. Let us know before your wedding day the name and contact details for your toastmaster and our wedding coordinator will liaise with them on the day to make sure everything runs smoothly and to time.

Unlimited Wine
We offer a very reasonably priced unlimited wine option during the wedding breakfast where we put two bottles of wine (usually red and white) on each table and replace them as they’re emptied until we serve dessert to the top table, at which point guests then drink what is left on their table.
Where we provide unlimited drinks we don’t allow guests to stockpile drinks for later in the day and if guests already have drinks we will not replace the empty bottles or top up.
We usually provide coffee and the toast drink after dessert.
Ushers
Other than the toastmaster it’s traditional to allocate jobs to your ushers throughout the day. Ushers jobs should be light but they should always be on available to lend a hand. This could include assisting guests arriving for the ceremony, handing out Orders or Service, helping the photographer organise guests, parking cars and getting people up to dance!
Wedding “Breakfast”
It’s called a wedding ‘breakfast’ as it’s the first meal you have together as a married couple but is the main meal on your wedding day!
Extra choices – You can give your guests an additional choice when you send out your invites and they should let you know their choice when they RSVP. There is an additional charge of £2 per guest attending per course to do this. Add all the choices to your table plan (see table plan section)
Vegetarian/vegan choice – Our Wedding Breakfast menu includes one choice from each course as standard. There is one vegetarian/vegan option included and vegetarian/vegan guests must have a vegetarian/vegan starter and vegetarian/vegan main. (If you offer guests a choice of vegetarian/vegan starter and meat/fish main (or vice versa) this counts as an extra choice and is charged at additional cost of £2 per guest attending per course.)
Service – Each table is served in turn with all guests on each table being served at the same time. Except for tables seating more than 10 guests (eg long banqueting tables) in which case they will be served in blocks. For the Gourmet BBQ menu guests are seated and then called table by table to the BBQ which is served from the pavilion weather permitting.
Tea & Coffee – a tea & coffee station is included in all wedding breakfast menus. If you’d prefer tea and coffee served to the table we charge £2 per person surcharge.
Menu Tasting – we include a complimentary tasting lunch for each couple having the two/three course wedding breakfast. This is usually on the first Sunday in November before your wedding. You can bring additional guests with you for an additional charge.
